The Challenge for BrightTeach with WhatsApp

BrightTeach’s tutors deliver live lessons and one-to-one mentoring to over 500 students every week. Helping students truly thrive takes more than great teaching: it requires structure, encouragement, and consistent daily communication to keep them motivated and on track.

Manual messaging and data entry
Before Polser, tutors sent WhatsApp messages manually. This meant copying and pasting updates to each student every morning. Hundreds of messages, sent one by one. It was exhausting, time-consuming, and nearly impossible to maintain as the student base grew. Worse, it took time away from what these tutors are most skilled at: interacting with students.

Managing contacts and recording activity was just as difficult. WhatsApp couldn’t connect directly to BrightTeach’s CRM, so contact lists had to be updated manually as student statuses and needs changed. Every phone number, every status change, and every new enrolment had to be added by hand. This approach was frustrating, prone to errors, and often left the team working with outdated information.

Endless copy-pasting
On top of the hundreds of messages sent in daily broadcasts, the team also spent significant time responding to the same student and parent questions over and over. Queries like “How do I join my lesson?” and “I cannot log in to the learning platform” had to be typed out each time or hunted down from old messages to copy and paste. It slowed everyone down and made consistent replies a challenge. There was no singular source of truth to answer from, and students and parents weren’t getting information fast enough from traditional channels like websites or emails.

No room to grow
Before using Polser, BrightTeach managed this through WhatsApp Groups that included the tutor, student and parent all in one thread. They realised that this arrangement was not ideal; each stakeholder needed different information, and with the volume of information in each group, it was hard to follow up or keep track of simultaneous conversations on different topics. Groups were chaotic and hard to manage, but there was no practical alternative given the limitations of out-of-the-box WhatsApp Business.

On top of that, BrightTeach wanted to strengthen their student recruitment efforts and saw WhatsApp as the perfect way to reach new families. Confident about its WhatsApp success, BrightTeach is preparing to launch two new purpose-built WhatsApp environments with Polser, designed to support different audiences.

One environment will focus entirely on sales and enrolment. This dedicated space will handle prospective student enquiries and pricing questions. The plan is to add a WhatsApp button to their website, making it easy for new families to reach out and get their questions answered easily prior to joining the program.

The second environment is all about supporting S.E.N.D. tutors. Launching next academic year, this channel will help BrightTeach coordinate with educators who work with students with special educational needs. Tutors will receive class reminders, updates, and prompts to submit progress reports directly from their phones, where they’re most responsive.
